General Description

Position Summary

Reporting to the Hospitality Manager, this position is responsible for employee Recruitment, Orientation, Placement, and General Logistics for camp operations. Working as a member of a team, the Placement / Logistics Coordinator must be able to prioritize work, manage confidential information, make quality decisions, plan and organize work, and show a high level of customer service. Working in the Edmonton office the Placement Coordinator will work a Monday to Friday Schedule withoccasional Overtime and will also require on call availability on a rotational basis.

Responsibilities and Deliverables

Recruitment

  • Schedule pre-access drug and alcohol test for prospective employees
  • Request Fit for Work assessments
  • Be first point of contact for employees regarding placement and availability
  • Conduct and lead interview process
  • Conduct reference checks
  • Meet with hiring managers to qualify staffing needs
  • Deliver offer of employment
  • Upload documentation into employee safety sync files upon completion of orientation 

Orientation

  • Deliver first day orientation to new employees
  • Creation and maintenance of new employee files including Collection of orientation paperwork, sign offs and employee certifications
  • Ensure employees have proper information, paperwork, badges and certifications for specific sites if applicable.

Placement

  • Prepare and maintain employee schedules, crew changes and staff replacement for all camp operations.
  • Preparation and distribution of employee placement information including dispatch sheets and other relevant information
  • Tracking and issuing of staff uniforms
  • Maintenance of uniform inventory

Logistics

  • Responsible for all employee transportation and logistics, including but are not limited to:

o   Preparing drivers’ manifest

o   Hotel reservations

o   Bus tickets reservations

o   Flight reservations

  • Prepare and distribute staff transfer and grocery resupply diaries to business  
  • Arrange 3rd party transportation for staff transfer and grocery resupply.

General Duties

  • Various Administrative functions
  • Maintenance of employee files
  • Maintenance of a variety of databases
  • Creation and delivery of a variety of reports
  • Other duties as required
  • Ensure all employees are compliance with safety training and site specific certifications.
  • Following up with all employees that aren’t compliant on safety training.

Qualifications

Qualifications

  • A minimum of 1 year experience in a similar capacity
  • High School Diploma or GED is required; Post-secondary education in business administration, and/or other relevant disciplines is an asset
  • Demonstrated ability to maintain confidentiality in managing employee personal information
  • Demonstrated high level verbal and written communication skills
  • Demonstrated organizational and time management skills
